How to calculate hours worked

  1. Write each clock-in and clock-out time; convert PM times to 24-hour (5:30 PM = 17:30).
  2. Subtract clock-in from clock-out for each day; if the shift crosses midnight, add 24 hours.
  3. Subtract unpaid breaks such as a 30-minute lunch.
  4. Add the days for the week, then convert minutes to decimal hours by dividing by 60 (8 h 45 min = 8.75 h).
  5. Hours over 40 in the workweek are overtime at 1.5× under federal law; some states also count daily overtime.

How do I calculate hours worked with a lunch break?

Subtract clock-in from clock-out, then subtract the unpaid lunch. 8:00 AM to 4:30 PM is 8 h 30 min; minus a 30-minute lunch is 8 hours (8.00 decimal).

How do I convert minutes to decimal hours for payroll?

Divide the minutes by 60: 15 min = 0.25, 30 min = 0.50, 45 min = 0.75. So 7 h 45 min is 7.75 hours. See the full minutes-to-decimal chart.

When does overtime start?

Under the federal Fair Labor Standards Act, non-exempt employees earn 1.5× pay for hours over 40 in a workweek. California, Alaska, Colorado and Nevada (in some cases) also have daily overtime. Pick your state above.

Does it work for overnight shifts?

Yes. If the clock-out time is earlier than the clock-in time (10:00 PM to 6:00 AM), the calculator treats it as an overnight shift and counts 8 hours.
